These Terms of Service ("Terms") govern access to and use of Casebound, a practice-management platform for Canadian immigration law firms and Regulated Canadian Immigration Consultants (RCICs), operated by Mecon Immigration Inc., operating as Casebound ("Casebound," "we," "us"). By creating an account or using Casebound, you agree to these Terms on behalf of yourself and, if you are creating a firm account, on behalf of your firm.
1. Who this is for
Casebound is built for licensed immigration lawyers, RCICs, and authorized staff acting on their behalf. By creating an account you represent that you are authorized to practice immigration law or consulting in Canada, or that you are staff acting under the supervision of someone who is, and that all information you provide is accurate.
2. Your account and firm workspace
- Each firm operates in its own isolated workspace; firm data is not visible to other firms.
- You are responsible for safeguarding your account credentials and for all activity under your account, including actions taken by anyone you invite as a firm member.
- Casebound uses email-code multi-factor authentication on password sign-ins as a security control. Do not disable or circumvent it.
- You must notify us promptly of any unauthorized use of your account.
3. Client data — your firm is the controller, Casebound is the processor
When you use Casebound to manage a client's intake, agreements, applications, documents, or invoices, your firm is the party responsible (the "controller" under Canadian privacy law) for that client's personal information. Casebound acts as your firm's service provider (a "processor"), storing and processing that data only to provide the service to you. Your firm remains responsible for:
- obtaining any consent required from your clients to collect and store their information;
- the accuracy of the information entered into the platform;
- complying with your regulator's rules (e.g. CICC Code of Professional Conduct, or your law society's equivalent) and with PIPEDA and any applicable provincial privacy legislation; and
- responding to your own clients' requests to access, correct, or delete their data.
4. Payments
Casebound charges a subscription fee for the platform itself, billed through Stripe. Retainer or fee payments between your firm and your clients are not processed by Casebound — any payment records you enter are for your own bookkeeping only, and money never moves through the platform.
5. Acceptable use
You agree not to:
- use Casebound for any purpose other than legitimate immigration practice management;
- upload content that is unlawful, or that you do not have the right to store;
- attempt to access another firm's workspace or data, or bypass access controls;
- reverse-engineer, scrape, or resell the platform without our written consent.
6. Intellectual property
Casebound and its underlying software remain our property. You and your clients retain ownership of the data you enter and the documents you upload; we do not claim ownership of your content, and use it only to provide the service to you.
7. Disclaimers
Casebound helps generate IRCC forms and manage CICC-compliant agreements based on information you provide, but it is a software tool, not a substitute for your own professional judgment. You remain solely responsible for the accuracy and legal sufficiency of every form, agreement, and filing produced using the platform.
The service is provided "as is" without warranties of any kind, to the extent permitted by law. We are not liable for indirect, incidental, or consequential damages arising from your use of the platform.
8. Termination
You may cancel your subscription at any time from your billing settings. We may suspend or terminate an account that violates these Terms or that we reasonably believe poses a security risk to other firms on the platform. On termination, you may export your data for a reasonable period before it is deleted — see the Privacy Policy for our retention practices.
9. Changes to these Terms
We may update these Terms from time to time. Material changes will be communicated by email or an in-app notice before they take effect.
10. Governing law
These Terms are governed by the laws of the Province of Ontario and the federal laws of Canada applicable therein, without regard to conflict-of-law principles. Any dispute arising out of or relating to these Terms or Casebound will be subject to the exclusive jurisdiction of the courts of the Province of Ontario.
